Planning a Canton Fair Group? 6 Lessons from a Guangzhou DMC

Planning a Canton Fair group requires more than simply booking hotels and transportation. From accommodation planning to airport transfers and local support, every detail can affect your clients’ experience in Guangzhou.

Since 1957, it has grown into one of the world’s largest trade fairs, connecting international buyers with Chinese manufacturers across almost every industry.

The 2026 Autumn Canton Fair will take place in three phases:

  • Phase 1:October 15–19
    Phase 2:October 23–27
    Phase 3: October 31–November 4

The two break periods between phases are:

  • October 20–22
    October 28–30

In recent weeks, we’ve received many Canton Fair inquiries from overseas travel partners—including group tour operators, MICE agencies, and business travel specialists serving markets across Europe, North Africa and Latin America.

After reviewing many briefs and operating Canton Fair group programs every season, here are a few lessons we’ve learned about planning a Canton Fair group successfully.

Planning a Canton Fair Group: What Overseas Partners Should Know

1️⃣ Keep the core package simple.

For most business buyers, the essentials are straightforward:

✔ Hotel accommodation
✔ Airport transfers
✔ Local support

Daily hotel-to-fair transfers are often unnecessary, as many official Canton Fair hotels already provide complimentary shuttle buses.

Airport transfers, however, are different.

We strongly recommend arranging an English-speaking guide to meet guests inside the arrival hall. Besides the language barrier, the coach parking area at Guangzhou Airport is not easy to find, and first-time visitors can easily get lost without someone guiding them from the terminal to the vehicle.

2️⃣ Use the break days wisely—but don't overfill them.

The two intervals between the three phases are a great opportunity to add value to your itinerary.

Some buyers would like to explore Guangzhou, visit factories, enjoy local food, or simply relax before the next phase begins.

Instead of filling every day with activities, we usually recommend offering one or two optional experiences, such as:

  • A classic Guangzhou city tour
    • A local food experience
    • A day trip to Gulong Gorge
    • Shopping and leisure time
    • Factory visits with shortlisted suppliers

Business travelers often appreciate having some free time after spending an entire day at the exhibition.

3️⃣ Book hotels early—at least two months in advance.

This is probably the biggest mistake we see.

During the Canton Fair, hotel prices typically increase 2–5 times, and availability disappears surprisingly quickly.

Rather than choosing the hotels closest to the exhibition complex—which are usually the most expensive—we recommend properties about 30 minutes away, preferably with a Canton Fair shuttle bus and good restaurants and shopping nearby.

An experienced local DMC can also negotiate better group rates and recommend hotels that offer the best balance between price, convenience and guest experience.

4️⃣ Schedule factory visits after the Fair.

Many first-time buyers plan factory visits before attending the exhibition.

In reality, that’s often inefficient.

Many factory owners and sales teams are exhibiting at the Canton Fair themselves.

A better approach is to attend the Fair first, shortlist suppliers, and then arrange factory visits afterwards. Meetings become much more focused and productive.

5️⃣ Reserve restaurants and group dinners early.

If you’re organizing welcome dinners, networking events or group banquets, don’t wait until guests arrive.

Large groups require advance reservations, and the best venues are often fully booked during the Canton Fair.

6️⃣ Remember that business travelers are not tourists

One mistake we occasionally see is trying to fill every spare moment with sightseeing.

After walking the exhibition halls all day, many buyers simply want a good dinner, a comfortable hotel, or a relaxed evening.

A successful Canton Fair program isn’t about adding more activities—it’s about designing the right balance between business, logistics and local experiences.
